Privacy Policy

1. Introduction

RecoverInvoice ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, store, and protect your information when you use our Service. RecoverInvoice is an independent third-party application and is not developed, endorsed, or affiliated with Intuit Inc.

2. Information We Collect

  • Account information: Name and email address provided during registration via Clerk authentication.
  • QuickBooks data: Invoice data (invoice number, amount, due date, status), customer names, email addresses, and payment history accessed via Intuit's official OAuth 2.0 API. We access this data in read-only mode.
  • Email data: Gmail or Outlook OAuth tokens to send emails on your behalf. We only access sent follow-up threads to check for client replies. We do not read, scan, index, or store your general inbox or any other email content.
  • Payment information: Payment method details are collected and stored by Stripe. We store only a reference to your Stripe customer ID and the last four digits of your card. We never have access to your full card number.
  • Usage data: Log data and feature usage for improving the product.

3. How We Use Your Information

We use your information solely to provide and operate the Service:

  • To identify overdue invoices from your connected QuickBooks account
  • To generate AI-drafted follow-up emails based on your invoice and customer data
  • To send follow-up emails from your connected email account on your behalf
  • To detect invoice payments and calculate service fees
  • To send you notifications about pending charges and account activity
  • To improve the Service

We do not use your data for advertising, marketing to third parties, or any purpose unrelated to providing the Service.

4. QuickBooks Data Usage

RecoverInvoice's use of QuickBooks data is strictly limited to reading invoice status and customer contact information to generate follow-up communications. Specifically:

  • We access only invoice and customer data necessary to provide the Service
  • We do not modify, write to, or delete any data in your QuickBooks account
  • We do not sell, rent, or lease QuickBooks data to any third party
  • We do not use QuickBooks data for advertising or marketing purposes
  • We do not use QuickBooks data to train general-purpose machine learning or AI models
  • Customer data from QuickBooks is used only to personalize follow-up emails sent on your behalf

5. Gmail and Outlook Data Usage

RecoverInvoice's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Our use of Gmail and Outlook access is limited to:

  • Sending follow-up emails on your behalf from your own email address
  • Checking for replies to those specific sent follow-up messages

We do not:

  • Read, scan, index, or store your general inbox or any unrelated email content
  • Use email data for serving advertisements, including retargeting, personalized, or interest-based advertising
  • Transfer or share email data with third parties except as necessary to provide the Service (e.g., OpenAI for draft generation — no email content beyond the specific follow-up context is shared)
  • Allow humans to read your email data unless you provide affirmative consent to view a specific message, it is necessary for security purposes, or it is required by law
  • Use email data to train general-purpose machine learning or AI models

6. Data Sharing

We do not sell, rent, or trade your personal information to any third party, including advertising platforms, data brokers, or information resellers.

We share data only with the following service providers, solely to operate the Service:

  • Intuit — QuickBooks data sync via OAuth API
  • Google / Microsoft — Email sending via Gmail or Outlook OAuth
  • Stripe — Payment processing for service fees
  • OpenAI — Email draft generation (no payment data, no personally identifiable financial information is shared)
  • Clerk — User authentication

We may also disclose information if required by law, legal process, or governmental request, or to protect the rights, property, or safety of RecoverInvoice, our users, or others.

7. Data Retention and Deletion

We retain your data for as long as your account is active. Upon account deletion:

  • Your data is retained for 30 days to allow for account recovery, then permanently deleted
  • All OAuth tokens for QuickBooks, Gmail, and Outlook are immediately revoked upon account deletion
  • Billing records are retained for 7 years as required by applicable tax and financial regulations

You may request deletion of your data at any time by contacting support@recoverinvoice.com or through your account Settings.

8. Security

We implement industry-standard security measures to protect your data:

  • All data is transmitted over encrypted connections (HTTPS/TLS)
  • OAuth 2.0 for all third-party integrations — we never store your passwords for QuickBooks, Gmail, or Outlook
  • Encrypted storage for all sensitive tokens and credentials at rest
  • Access controls and monitoring to prevent unauthorized access

9. Your Rights and Choices

You have the following rights regarding your data:

  • Access: Request a copy of the personal data we hold about you
  • Correction: Request correction of inaccurate personal data
  • Deletion: Request deletion of your personal data
  • Revoke access: Disconnect QuickBooks, Gmail, or Outlook integrations at any time from Settings, or directly through your Google, Microsoft, or Intuit account settings
  • Data export: Request an export of your data
  • Opt out: Cancel your account at any time from Settings

California residents (CCPA): You have the right to know what personal information we collect, request its deletion, and opt out of the sale of personal information. We do not sell personal information. To exercise your rights, contact support@recoverinvoice.com.

EEA/UK residents (GDPR): You have additional rights including the right to data portability, the right to restrict processing, and the right to object to processing. Our legal basis for processing is the performance of a contract (providing the Service you signed up for). To exercise your rights, contact support@recoverinvoice.com.

10. Children's Privacy

The Service is not directed to children under 18. We do not knowingly collect information from children. If we become aware that we have collected personal information from a child under 18, we will promptly delete it.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes via email at least 30 days before the changes take effect. Continued use of the Service after the effective date constitutes acceptance of the updated policy.

Intuit and QuickBooks are registered trademarks of Intuit Inc. Gmail is a trademark of Google LLC. Outlook is a trademark of Microsoft Corporation. All other trademarks are the property of their respective owners.
